Introduction


PANDORA Library is divided into two main sections, MEDIA and PRODUCT. The PRODUCT section of the application is to maintain product information. The main source for all products within PANDORA is the ERP system AX. The ERP system however does not cover the Marketing information about products, the relation between products or the images of products. PANDORA Library is a central application that makes the product information available for all employees and even externals.

All PANDORA products are created and developed in the Model Cap System. The model cap system is a product production system, which serves as a communication channel between the Copenhagen office and the factory in Thailand. It stores a 3D image of the product and is the initial source for the product number.

From the Model Cap System the product information is stored into the ERP system (AX = Axapta) of PANDORA via an MS Excel Sheet. In AX the product development department adds master data to the product, such as product name, item number, barcode, weight, product hierarchy and the Recommended Retail Price. Once the product information has been entered in AX, the product is approved and activated by pressing the “launch” button, which indicates that the product is ready for use in marketing material.

Once the product has been “launched”, one single dataset is prepared from multiple tables in AX. The dataset contains information that is provided to multiple systems, including PANDORA library. The single dataset is made available in a consolidated dataset on a central location.

The upload from AX into PANDORA Library is performed automatically. The product data sheet is populated based on the information entered from the AX system. The datasheet provides the primary details on the product such as product number, product name and price. The new data is placed within PANDORA Library – PIM. The products are given the status “new in PANDORA Library” and the workflow starts as part of the enhancement process.

This section covers the working of the PANDORA PIM studio which is the main area where product information is maintained. Obviously, the user profile determines which information is can be accessed by the user. The PIM Studio is only accessible for people who have the profile Admin, Global Product Manager or global eCom manager.

Access to PRODUCT


The PIM Studio is the section of PANDORA Library where the base information and relations of products is maintained. This section is not accessible for all users since it holds sensitive information and if errors are made this can have serious consequences for PANDORA.

1. Navigate to the PANDORA Library URL in Browser
2. Enter the login credentials
3. Click on Menu item "Studios". The studio selector window opens.
4. Click on PRODUCTS. The Product studio opens.


There fasted way to perform a direct search in the PIM studio is by using the top search bar in the header of the page. In this search bar you specify if you want to search for a product or for a category:

1. Product: based on the product number, the results will be listed matching your search string.
2. Category: based on a product characteristic (such as silver or necklace), the results will be listed that match your search string.

Once you select the topic in the search bar you can start typing. The PIM Studio will support your search by immediately listing the results that match the entered values. 
1. Click on the search bar. The search for categories or products appears
2. Select products or categories
3. Enter a search string (for products e.g. 15, for categories e.g. silver)
4. The matching results are listed
5. Click on the search result you where looking for. 



Browse catalog


The products of PANDORA are ordered in the left navigation pane. This grouping of products is called a catalog in PANDORA Library. Products can belong to more than one catalog so for example a product can be part of the “all main products” catalog and also be part of “category – rings”. To navigate within the catalog structure you have the following options:
1. You can click on the arrow to expand to view sub elements of a topic or you can click to collapse the structure.
2. You can click on the catalog name to access the files within the classification. The items that part of the classification are displayed in the main window of MEDIA.

Some catalogs hold a large amount of products. You can navigate between the different pages of products by using the pager at the top of the product display window. On the top right corner of the product display page within a catalog you can change the views on the products. There are two different views available, a list view and a tiles view. Changing the catalogs (e.g. add products or edit the name) can be done by the tools in the top right corner. You don’t need to change this is automatically done by the AX import.

View Product Details


Products are separated in PANDORA Library indicating whether the product is a Master Product or a Sub Product: • Master Product: unique product number, no size • Subproduct: Master Product number + unique identifier, size

The Master Product is a product that displays unique characteristics of a product, such as metal, material and stones. These values are all available in the various languages from the markets. The Sub Product is a size variant of the Master Product and allows differentiation between the product characteristics such as size, weight, barcode and price. Sub Products have the same article number as the Master Product, however, the article number also contains the size by which a unique Sub Product number is created: • Master Product: 983564 o Sub Product: 983564_12 o Sub Product: 983564_14 o Sub Product: 983564_16

Sub-Products are products that are made from the same metal, material and stones as the Master Product. If one of the core elements is different (for example the stone color is different), the product is not the same and therefore a separate Master product should be created.

For each Master Product it is possible to see the number of Sub Products in the product overview window. The view contains a column called Sub Products. The number of Sub Products is given per master product.

Product detail page:

1. In the left navigation pane, click on a catalog.
2. Drill down to the product level; you will now see all the products in the catalog.
3. Click on the product or the view product icon ( ). The product details are displayed

2. Click on the edit product icon.
3. The product details are displayed and you can edit the content.
